Chapter 10: Projects & Property Inventory Catalog

In real estate and property sales, your product is not a generic item on a shelf—it is a physical development with specific towers, floors, orientations, square footage, and individual apartment units.

The Projects & Unit Inventory Module (/projects) connects your customer inquiries directly with the physical homes, plots, or commercial offices you are selling.


#1. The Project Directory

Clicking Projects in the sidebar opens your master property catalog. Here, you can organize all the developments your company represents:

Project Attribute What It Captures
Project Name The official commercial or marketing name (e.g., "Palm Meadows Phase 2" or "Skyline Business Park").
Property Type Residential High-Rise, Luxury Villas, Commercial Office Complex, Retail High-Street, Plotted Development, Industrial.
Location & City Detailed address, landmark proximity, Google Maps pin URL, and neighborhood tags.
Developer / Builder In-house development or partner developer name.
RERA Registration No. Official government real estate regulatory authority registration number for legal transparency.
Possession Date Target completion or handover date (e.g., "Ready to Move" or "December 2027").
Starting Price Range Minimum base price (e.g., "₹65 Lakhs onwards").
Available Configurations 1BHK, 2BHK, 3BHK, 4BHK, Studio, Penthouse, Retail Shop.
Amenities Swimming pool, clubhouse, gymnasium, children's park, 24/7 security, EV charging stations.

#2. Adding & Managing Projects

To register a new project:

  1. Click + Add Project in the top-right corner.
  2. Enter the Project Name, Category, and RERA Number.
  3. Upload the Cover Hero Image (used on brochures, cards, and client share links).
  4. Specify the Address & Google Maps Location Link (used for sending automatic site visit directions to buyers via WhatsApp).
  5. List key Highlights & Amenities.
  6. Set the status to Active (inquiries can be linked) or Inactive (project sold out or paused).
  7. Click Save Project.

#3. Detailed Property Unit Inventory

Many real estate developers face the nightmare of two different agents accidentally selling the same apartment or plot to two different buyers on the same day.

#Understanding Unit Statuses:

  • 🟢 Available: The unit is completely open for sale. Any agent can pitch, quote, or take a client for walkthrough.
  • 🟡 Booked / On Hold: A client has shown serious commitment or given a temporary token cheque. The unit is locked for 48–72 hours while loan documentation or agreement drafting proceeds. Other agents cannot book this unit.
  • 🔴 Sold: The formal agreement has been executed and down payment received. The unit is permanently removed from active sales inventory.
  • 🔵 Reserved: Withheld by management (e.g., developer quota, investor share, or model flat).

#4. Booking a Unit for a Client

When a buyer decides to proceed with a purchase:

  1. Open the Project Unit Inventory screen.
  2. Locate the unit (e.g., Wing A, Flat 402).
  3. Click Book Unit.
  4. A booking form appears:
    • Select Customer / Lead: Type the client's name or phone number.
    • Booking Amount / Token Received: Enter the initial earnest money deposit (e.g., ₹1,00,000).
    • Hold Duration: Specify how many days the hold is valid (e.g., 3 business days).
    • Booking Remarks: Payment mode (Cheque number, NEFT reference, or UPI transaction ID).
  5. Click Confirm Hold.

The unit turns Yellow (Booked) immediately across all agents' screens. A booking entry is automatically created in the customer's lead timeline, and an alert is dispatched to the sales manager.


#5. Releasing an Expired Hold

If the client's home loan is rejected or they fail to pay the full booking amount within the agreed hold window:

  1. Open the unit record.
  2. Click Release Unit.
  3. Enter the reason for release (e.g., "Client loan rejected by bank; earnest money refunded").
  4. Click Release to Active Pool.
  5. The unit instantly flips back to Green (Available), ready to be pitched to the next buyer.
