In real estate, property sales are rarely closed over the phone. The true moment of truth happens when a prospective buyer arrives at the project site, walks through the model flat, touches the finishes, and pictures their family living there.
The Site Visits Module (/visits) manages the entire lifecycle of in-person property walkthroughs—from initial scheduling to field GPS check-in and post-visit feedback.
#1. The Site Visit Overview Dashboard
Clicking Site Visits in the sidebar opens the central visits control room:

#2. Scheduling a Site Visit (Step-by-Step)
A site visit can be scheduled directly from any Lead Profile or from the Site Visits screen:
- Click
+ Schedule Site Visit. - Select the Lead / Client: Choose from your database or type their name.
- Select the Destination Project: Choose the property they will inspect (e.g., "Palm Meadows Phase 2").
- Select the Assigned Sales Representative: The executive who will receive the client at the site lounge or accompany them.
- Set the Scheduled Date & Time: e.g., Saturday, 06 Sep 2026 at 11:30 AM.
- Add Logistics & Pickup Notes:
- e.g., "Client coming by own car with family (3 adults, 1 child). Gate security notified. Wants to see 3BHK model flat and clubhouse amenities."
- Specify if company cab pickup was requested.
- Click Confirm Visit Booking.
The system immediately:
- Locks the appointment on the company calendar.
- Sends a calendar invite and confirmation WhatsApp message to the customer (if templates are configured).
- Arms the dual reminder alerts for the assigned sales representative.

The appointment is confirmed and waiting on the daily schedule.
#Stage 2: Start Journey (En Route)
- When the sales executive departs the office or begins traveling to the site to meet the client, they tap
Start Journey. - The system logs the departure timestamp and changes the status to In Progress.
#Stage 3: On-Site Check-In
- When the client arrives at the project sales lounge or gate, the representative taps
Check In. - The system records the exact check-in time and GPS verification, proving the visit took place.
#Stage 4: Check-Out & Feedback Logging
- When the walkthrough concludes and the client departs, the representative taps
Check Out. - A structured feedback modal appears immediately:
- Client Interest Level: Extremely Interested (Hot), Moderately Interested (Warm), Neutral / Exploring, or Not Interested (Cold).
- Specific Units Liked: e.g., "Flat 804 in Tower B" or "Villa #12".
- Objections / Client Concerns: e.g., "Wants higher floor with sea view", "Budget slightly tight, asking for 3% discount", "Awaiting father's approval".
- Agreed Next Step: e.g., "Send revised cost sheet with bank loan EMI breakdown by Monday morning".
- The visit is marked Completed, and the notes are automatically appended to the customer's permanent lead timeline.
#4. Handling Missed Visits, No-Shows & Cancellations
Not every scheduled visit happens. Buyers get caught in traffic, have family emergencies, or simply forget.

#When a Client Cancels in Advance:
- Click Cancel Visit.
- Select the cancellation reason (Rescheduling for next week, Family emergency, Budget reconsidered).
- The visit is marked cancelled, and the lead status automatically updates to Follow-up Required.
